Filebuilding

Special Service Agency is using a process called 'filebuilding' to help in the turn-a-round time for cases at the home office.

In September 2005 West Coast Life required a new processing feature called 'filebuilder'.  Filebuilder has been working well for West Coast Life, and since January 1, 2007 we have been using this process for all of our life business.  What is 'filebuilding'?  Well, 'filebuilding' is just what it sounds like.  When we receive your application we build the complete file in our office prior to submitting it to the home office.  This may delay getting a policy number established, but it DOES NOT delay the processing of the application through our office.  When we build the file, we gather information that includes, but is not limited to the exam and any APS's that may be necessary.  The intention of this new procedure is to get your cases processed more quickly and efficiently and it has been working.  IF your application is submitted with money, we will review it for accuracy and submit the application and money to the home office immediately and then follow the filebuilding guidelines for any additional requirements.

We will keep you up to date on the collection of the requirements on your case via your Friday status letter as we currently do, and will also notify you when the completed file has been submitted to the home office.  The only differences you may see are with lab results, Inspection Reports and MVR's.  These will remain with a status of "outstanding carrier" until the case is submitted to the home office and we confirm these requirements have been matched to the file.
